FAQ for ExcelAI in Google Sheets

How is my spreadsheet data processed?

ExcelAI only sends the spreadsheet content needed for the task you run. For example, the Agent can use your active sheet and selected range as context, and Bulk Tools process the rows and columns you choose.

When ExcelAI needs to write to your spreadsheet, it shows an approval step first. Read-only actions can run automatically, but write actions such as filling cells, inserting rows, applying formulas, or changing formatting require your approval before they are applied.

Is my spreadsheet data used to train models?

ExcelAI does not use your spreadsheet inputs or AI outputs to train language models.

When your request is sent to an AI provider, that provider processes the request according to the model, account, endpoint, and API key settings used for the task. If your organization has strict data requirements, configure the model provider and API key settings that match your policy.

Do I need my own API key?

No. You can use the models available to your account without setting a personal API key.

Adding your own API key is optional. It can unlock additional provider-backed models when they are available to your account, and it lets you manage model usage directly with the provider.

Can I use my own API key?

Yes. You can configure personal API keys from your ExcelAI settings when this option is enabled for your account.

Using your own API key can help you:

• Access more models from supported AI providers.
• Manage usage and costs in the provider's own dashboard.
• Route requests through the provider account or endpoint your organization controls.

Which models can I use?

The available model list depends on your account, workspace settings, and configured API keys. The Google Sheets sidebar loads separate model lists for Agent and Bulk Tools, so the models you see may differ between those two areas.

Some models may support web search. In the sidebar, search-capable models are only available for compatible tools such as Custom Prompt and Generate.

Is ExcelAI connected to the web?

ExcelAI can use web-connected models when they are available in your model list. In Bulk Tools, web search models are supported for Custom Prompt and Generate, where fresh external information may be useful.

Other tools such as Translate, Classify, Extract, Rewrite, and Reformat are designed for controlled row-by-row spreadsheet processing and use the non-search models available to those workflows.

What can the Agent do in Google Sheets?

The Agent is a chat-style assistant inside the Google Sheets sidebar. It can read spreadsheet context, answer questions about your active sheet or selection, suggest spreadsheet changes, and help with tasks such as formulas, cleanup, formatting, and analysis.

The Agent can read sheet schema, sheet names, and selected ranges. When it proposes a write action, you review the preview and approve or reject it before anything changes in the spreadsheet.

What Bulk Tools are available?

ExcelAI for Sheets includes these Bulk Tools:

• Custom Prompt: run your own prompt template for each row.
• Translate: translate a selected column into a target language.
• Classify: assign each row to one of your categories.
• Extract: pull structured fields from unstructured text.
• Generate: create new content from an input column and optional context columns.
• Rewrite: rewrite existing text with consistent instructions.
• Reformat: convert values into a target format.

Will Bulk Tools overwrite my existing results?

Bulk Tools are designed to protect existing spreadsheet work. Empty input rows are skipped, and rows with existing values in the output cells are skipped instead of overwritten.

For Extract, a row can write to multiple target cells. If any target cell for that row already has content, the whole row is skipped to avoid partial or mixed results.

Can I reference data from another sheet?

Yes, the Agent can read sheet names and ranges when it needs spreadsheet context. For Bulk Tools, you choose the input, context, and output columns from the available sheet structure.

When building prompts, keep references clear and specific. If you need the Agent to use another sheet, mention the sheet name and range in your instruction.

Can ExcelAI process images?

The current Google Sheets add-on focuses on spreadsheet text, formulas, tables, and cell formatting. Image-processing workflows are not part of the core Sheets Bulk Tools described here.

Who can use ExcelAI in a shared Google Sheet?

Users need access to the Google Sheet and a signed-in ExcelAI account. Actual permissions also depend on your Google Workspace sharing settings, your ExcelAI workspace settings, and the account's available models or credits.

For write actions, the user still needs sufficient spreadsheet permission, and ExcelAI still asks for approval before applying changes.

Is there a limit to the number of requests I can send?

Yes. Limits can depend on your ExcelAI plan, available credits, selected model, workspace settings, and the AI provider's own rate limits.

Large Bulk Tool runs are submitted as batch jobs. The sidebar shows progress, successful rows, failed rows, cancellation state, and retry options when available.

How do I manage chat history and preferences?

The sidebar supports chat sessions, so you can start a new chat, load previous sessions, delete sessions, and review session usage when available.

You can also save user preferences. Preferences help the Agent remember recurring instructions across sessions, such as preferred writing style, formatting rules, or workflow-specific guidance.
